How to import the list of visitors

If you already have the list of visitors for your event, you can import it by uploading an excel file on beamian platform.

Before you get started

Before you start an import, two previous steps are required: creating your custom form fields on the platform and to set up your import file to confirm you have all the required fields on the excel template.

Import the list of visitors and answers

Follow these steps when your custom form fields are already created on the platform and your file is already set up correctly.

  • Go to your beamian account and click on your current event.
  • Navigate to Visitors tab.
  • In the upper right, click Import Visitors and Answers (green button).
  • In the dialog box, click Choose File.
  • Select File from the computer.
  • Click Preview (blue button) so that you can identify if there is an error in your import file and confirm that the total number of visitors has been imported. If there are no errors, you can go ahead and click Choose File again, select your file from the computer and click Import (green button). 

Please note: A single email is required per visitor. The platform doesn't accept duplicate emails. Two visitors cannot be imported with the same email.

Import the list of visitors (only Name and Email)

Ensure that your import file is set up correctly, in this case, only with the Name and Email columns filled in.

  • Go to your beamian account and click on your current event.
  • Navigate to Visitors tab.
  • In the upper right, click Import Visitors (green button).
  • In the dialog box, click Choose File.
  • Select File from the computer.
  • Click Preview (blue button) so that you can identify if there is an error in the excel template and confirm that the total number of visitors has been imported. If there are no errors, you can go ahead and click Choose File again, select your file from the computer and click Import (green button).

Tip: If you wish to personalize the badge with the visitor name or other information field, please pay attention to the number of characters of data you are filling in, in order to be possible to print in a standard label format. Learn how to set up labels for badges.

It is mandatory to register all imported visitors in the check-in session

When all visitors are imported into your event, you need to register them at the event check-in session (which is mandatory before the event starts).

To do this, go to the Sessions tab and click Register all visitors in Checkin Session (red button) at the bottom of the page.
